Bring one piece of work to the first software conversation

An initial conversation becomes productive when the team can examine an actual task instead of interpreting a broad label such as “operations platform.” You can prepare that example without writing a technical specification or sharing private records.

Describe the beginning and the finish

Name who starts the work, what information they have, and who relies on the result. Explain how the team knows the task is complete. A submitted form may be only the beginning if another person must review or act on it.

Use a fictional record with realistic structure. An invented request can show the fields, approval, and handoff without exposing a customer or employee.

Show where coordination becomes difficult

Perhaps two copies disagree, a correction is invisible, or a reviewer cannot tell which version they approved. Describe the steps and the consequence. A suspected technical cause can be included as a hypothesis rather than treated as a confirmed diagnosis.

Bring one ordinary example and one exception staff handle repeatedly. The exception often reveals who makes the important decision and what information the current tools omit.

Inventory the tools and owners

List the application, workbook, shared files, messages, and provider systems involved. Say which source the team treats as current and who can authorize access. Mention whether source code, documentation, or existing supplier support is available.

Do not send credentials, access tokens, private workbooks, or confidential records in a general enquiry. Protected samples and project access can be arranged if the work needs them.

Explain the next decision

The business may be comparing an existing product with a custom build, preparing to replace a workbook, or deciding whether inherited software can continue. State that decision and any real deadline or budget constraint affecting it.

Identify the person who can approve rules and the users who can evaluate a proposed workflow. Technical work cannot settle an internal policy disagreement without those owners.

Leave with a useful next step

The conversation may lead to a bounded investigation, a prototype, a provider demonstration, or an implementation scope. Its purpose should be clear: what uncertainty will be reduced and what result the owner can review afterwards.
